Legal Administrative Assistant Job Description

Sethi and Mazaheri LLC, a boutique immigration law firm with a strong commitment to social justice is seeking a full-time Administrative Assistant. We are looking for someone who is comfortable in a dynamic environment and can work well as part of a team in a fast-paced, deadline-driven office. The ability to multitask and comfortably communicate with clients and/or government agencies is important.

Responsibilities for Legal Administrative Assistant

  • Answer phone calls, take notes/messages, redirect calls when appropriate, and provide interpretation, as needed.
  • Serve as the gatekeeper to the office, greeting clients and guests both in person and over the phone and coordinate with office staff in scheduling in-person meetings and reserve conference rooms when necessary.
  • Manage all daily incoming and outgoing mail, including reporting, sorting, scanning, and filing incoming mail and drafting and sending out standard correspondence.
  • File, organize, scan, copy and fax legal documents in a timely manner.

  • Assist in the physical delivery of documents and mail to/from various locations, including shipping offices, courts, and other offices, as required.
  • Maintain a firm-wide calendar by planning and scheduling meetings, conferences, and teleconferences; recording and monitoring court appearance dates, relevant filing deadlines, and client appointments; communicating with clients, attorneys, and staff regarding upcoming hearings, appointments, and deadlines.
  • Organize and maintain the office, including the physical office space, filing cabinets, and electronic case files. Update client files and contact information as needed.
  • Other administrative duties as assigned by supervisors.
Position Requirements
  • High school diploma or equivalent qualification required.
  • A minimum of 1-year of experience in a similar role or in-depth knowledge of secretarial work.
  • Proficiency with Microsoft Office and Adobe Acrobat programs.
  • Excellent time-management and organizational skills.
  • Good written and verbal communication skills.
  • Strong interpersonal skills and professional demeanor.
Preferred Qualifications
  • Associate degree in related fields.
  • Understanding of legal terminology and documents.
  • Experience with legal management software.
  • Fluency in the Spanish language.
